What Is the Smart Document Prefill Tool?

The Smart Document Prefill tool uses AI to extract relevant information from uploaded documents and automatically populate fields within the application. This gives agents a significant head start by reducing the amount of manual data entry required at the beginning of a quote.

You can upload a variety of document types, including:

  • ACORD forms

  • Loss Runs

  • Supplemental forms

  • Quote proposals
  • Policy documents

  • Custom agency intake forms

The tool supports multiple locations and employee types and will do its best to prefill as much of the application as possible. You can upload multiple documents at once—whether it’s one or ten, the tool is built to handle it.

It can extract data from a wide range of file types, including PDFs, Word documents, and images (e.g., PDF, PNG, JPEG, and other common formats). The AI model behind the tool is regularly updated to improve accuracy and expand the range of supported document types.


 

How to Use the Tool

  1. Start a New Quote
    Click the New Quote button on your dashboard.

  2. Enable Smart Document Prefill
    In the quote setup window, select “Smart Document Prefill (Powered by AI!)” at the bottom of the screen.

  3. Upload Your Documents

    • Drag and drop your files into the upload box, or

    • Click inside the box to open your file browser and select documents directly from your device.

  4. Let the Tool Extract Data
    Once uploaded, the tool begins extracting information immediately. This process typically takes 1–3 minutes, depending on the number and length of the documents.

  5. Monitor the Application Status

    • While processing, the application will show a status of "Extracting Document Data."

    • Once complete, the status will update to "Created from document data," and you’ll receive an in-app notification letting you know the extraction is finished.

    • At that point, click into the application to review and continue with the prefilled data.
